We have made every effort to keep our terms and conditions as straightforward and clear as possible, outlining our commitments to you and your responsibilities to us. Please note that on completion and signing of our booking form you will have deemed to have accepted our terms and conditions.

Definition of Terms

‘Hygge Igloo’ & ‘Hygge Sleepover’ is Hygge Igloo Events.

‘The Hirer’ & ‘Customer’ is the company, firm or persons specified below, including their successors or personal representatives.

‘Equipment’ includes igloos, sleepover tents, accessories and other hire equipment booked for the hire period.

Hire of Equipment

Hygge Igloo Events retain the title and ownership of all equipment supplied.

On confirmation of booking, we will confirm the equipment you have hired and provide you with an inventory on delivery.

Hygge Igloo Events reserves the right to refuse hire at any point should our terms and conditions not have been adhered to.

Bookings will be accepted from over 18’s only.

Suitability and Delivery in Good Order

The Equipment shall be deemed to be in good order and in accordance with the hirer’s booking and satisfaction, unless notification is received by Hygge Igloo on the day of delivery. No warranty is given that the Equipment is suitable for the purposes of the hirer.

Delivery & Collection Policy

Hygge Igloo operate predominately within Berkshire, Buckinghamshire, Oxfordshire, Hampshire & Surrey. We may be able to deliver outside of these areas, please contact us to see if we can help.

We deliver free of charge within a 15 mile radius of RG5, thereafter a travel fee will be applied. Delivery costs will be confirmed prior to your booking.

Delivery and collection slots will be confirmed with you 24-48 hours before the delivery date. Please ensure that you are available on the day and time of delivery and collection.

Whilst we adhere to the agreed times, no responsibility can be accepted for delays due to severe traffic.

Our installation team will fully install the equipment on delivery. The team will be on hand to guide you through the equipment and advise on anything else you may need for the period of your rental.

The hirer will need to ensure the location is both clear and easily accessible, if unsure please check with us ahead of your booking. For igloo hire we will require access through a side entrance. For Hygge Sleepovers we will set up on the ground floor, for town houses and flats we will require your help.

It is the hirer’s responsibility to ensure that the items ordered are suitable for your environment and suitable for the purposes your requirements.

Hygge Igloo are unable to provide a refund if we cannot deliver your product due to a lack of space or accessibility or due to an inappropriate location.

The hirer is wholly responsible for ensuring that all the equipment is returned in the condition that it was delivered. If any equipment is returned damaged or severely soiled, we will either charge for repair or, if the equipment is deemed unrepairable, claim the entire replacement value. We do not allow the hirer to obtain their own repair services.

Any equipment which is not available at collection, must be returned to us, and a hire charge will be applied for the extra time period.

Hygge Igloo require an adult present at delivery and collection.

On delivery and collection of an igloo, Hygge Igloo, will need access to the area and electricity
source.

Access & Parking

The hirer will need to ensure the location is both clear and easily accessible to accept delivery. If you are unsure, please check with us ahead of your booking. Please advise of any parking restrictions

The hirer will need to provide parking close to the front door, and for igloo installations access to the garden via a side gate.

Hygge Igloo are unable to provide a refund if we cannot deliver your product due to a lack of space or accessibility or due to an inappropriate location.

Hire during Covid-19

We will require side access to your garden to ensure we meet with the current government Covid-19 guidelines/restrictions and best practice where restrictions have been reduced or lifted.

All equipment will be safely disassembled and fully disinfected after use.

Installation & Suitable Space for our Igloo and Sleepover Tents

Our installation team will fully install the equipment on delivery and will be on hand to guide you through the equipment and advise on anything else you may need for the period of your rental.

It is the hirer’s responsibility to ensure that there is adequate space for the installation to go ahead.

Hygge Igloo

The Igloo will need to be installed on flat ground and requires a 4 meter diameter space for the large igloo and 3.5 meter space for the medium igloo, both require 2.5 meter minimum height with no restrictions i.e., over hanging trees.

Our igloos are suitable for patios, grass, and hard standing areas.

The igloo can withstand winds of up to 30mph. The igloo should not be used where there is a threat of lightening and thunderstorms.

Please note for your safety, naked flame including the use of candles, firepits, chiminea etc and smoking is not permitted in or around the igloo.

Please note when the Igloo is situated on grass for a period of time it may cause flattening, browning and in some cases may kill the grass. Hygge Igloo accept no responsibility for this happening.

Please ensure that there is power supply within 20 metres of the igloo.

Hygge Sleepover Tents

Each bed with require a minimum of 115 cm x 210cm space, depending on where the tables are placed. Please check that you have sufficient space ahead of confirming your booking.

If we are unable to provide your delivery due to adverse weather, vehicle failure, illness, or any other unfortunate situation, then we will inform you of this at the earliest possible opportunity. Should this occur, the hirer is entitled to either a full refund or an alternative booking date.

Allergy Awareness

It is the hirer’s responsibility to provide written confirmation to Hygge Igloo of any known allergies and food intolerances of guests ahead of the hire.

Where known Hygge Igloo will provide a list of ingredients of food and skin care used ahead of the hire.

Payments & Security Policy

A deposit of 50% of the hire value is required to confirm your booking and reserve your requested dates of hire. By paying the deposit you are agreeing to these T & C’s. The remaining balance is due for payment two weeks before the event unless by prior agreement.

A refundable security deposit of £200 is charged on delivery and is refunded within 24 hours after collection, providing there is no damage to the equipment. Failure to pay the agreed balance by the agreed date may result in cancellation of the booking.

Should any equipment becoming damaged or lost during the hire period, the repair/replacement costs will be deducted from the hirer’s security deposit. If the repair/replacement costs exceed the deposit balance, then the hirer will be wholly responsible for the payment of the remaining balance. If the equipment is damaged beyond repair, the customer will be wholly responsible for the replacement costs.

It is the hirers responsibility to always ensure the security of the equipment. Any costs arising from the equipment not being secured, are chargeable to the hirer and will be deducted from the security deposit, the hirer will be wholly responsible for any costs exceeding the security deposit.

Payments can be made by BACS transfer. You will find details of our bank account on the invoice.

Cancellation Policy

If you need to cancel your booking, please contact Hygge Igloo as soon as possible. We do require a minimum of 14 days’ notice prior to delivery. Hygge Igloo will do our best to arrange an alternative date with you. Unfortunately, deposits cannot be refunded in the event the booking is cancelled by the Customer.

In the event that a booking is cancelled by the Customer less than 14 days before the agreed booking date, then 50% of the paid balance will be refunded.

In the event that a booking is cancelled by The Customer less than 7 days before the agreed booking date, a refund cannot be made.

On the rare occasion that a booking is cancelled by Hygge Igloo, then a full refund will be made. If we arrive for installation and are unable to setup due to inadequate space for the equipment, inappropriate surface types or inaccessible areas, then the hirer remains liable for the payment of the full booking.

Hygge Igloo Events reserve the right to cancel any booking where there is a potential health & safety risk to the hirer, their guests, or the public. We will always provide as much notice as possible in these circumstances and agree an alternative date with you.

Business Insurance

Hygge Igloo holds 2m public liability insurance. Further details available on request.

Information & Privacy

Any personal information provided by you is not given or sold to any third party. The exception to this is if your package includes service provision from one of our partners.

Apart from the contact details of the hirer all other contact information held by us is destroyed on completion of your period of hire.

Website & Publications

As a small business we appreciate the support from our clients by way of testimonials and support on our social media pages. We also ask for consent for photographs of your event to be used for marketing and promotional purposes, we will always seek your permission before taking or using any photographs. Complaints & Feedback

At Hygge Igloo, we endeavour to be flexible in our approach in offering you an experience that meets your requirements. We have taken great care to ensure this ahead of your event. If any aspect of your period of hire does not meet your expectations, we respectfully ask that you raise this with us directly to give us the opportunity to address and reach a satisfactory resolution.
